Notice for Sponsor pharma companies

Any pharmaceutical company who wishes to sponsor a Conference or event in Italy must have a marketing authorisation in Italy (AIC) or at least in Europe (EMA).
Companies without an authorized drug for the European market cannot be sponsors and cannot display their logo at the Conference. They can, however, support delegates participation and take part in the Conference as ordinary delegate.

It is very important that non-Italian pharma companies are made aware that the Italian Medicines Agency (AIFA) requirements for sponsorship are very strict and require a procedure to be carried out well in advance before the Conference, typically 70-100 days earlier. We strongly advise them to liaise with their Italian office and the PCO in due time.

Here are some details and deadlines:
To sponsor an event in Italy, authorized pharma companies must carry out a validation procedure through the AIFA online platform no later than 70 days prior the date of the event (15th January 2026).

By the above-mentioned date, the PCO will have opened an application with AIFA and uploaded a Conference comprehensive programme (so called File Unico). Sponsor companies will have to “validate” such file by accessing the AIFA online platform and adding their own sponsorship information by the very final deadline of 20th January 2026. In order to do so, companies must have an AIFA SIS code and a certified person appointed for the procedure. We strongly recommend sponsors to immediately liaise with their Italian subsidiaries. Sponsor companies that do not have an office in Italy, should provide themselves with an AIFA SIS Code and officially appoint a person responsible for it well in advance, since it requires quite a long process.

In case a sponsored lecture or symposium is being organised, the sponsoring company is required to submit to the Baveno Committee and the PCO a complete agenda of the symposium for incorporation into the comprehensive Conference programme (File Unico) well in advance, usually 100 days from the date of the event (i.e. by 15 December 2025).
The industry symposium agenda should include:

  • Final title of the symposium
  • Title of each talk *
  • Full name and affiliation of each speaker
  • Full name and affiliation of Chairs/moderators
  • Timing

No changes to the symposium programme wording can be made after 15th January 2026. The only exception possible is name change of the speakers and chairs that become unavailable in the meantime.
